Intility Implementer Casper Suite For Mac Pro
Official IRC Channel - #reddit-sysadmin on Official Discord -. My company who I've been with for about 6 months now is dropping Exchange and coming over to the Google ecosystem. And the users want to bring EVERYTHING with them.
We have their current Mailbox size set to around 500MB, so when they reach that limit, they just create a local Archive (On My Computer - they are on Macs) and move everything there. We have a Migration team coming in to help move all of our Exchange data into Google, so rather than try and manually add all of these.olm files later, we are attempting to go around and get everyone's current archive size, expand their Exchange limit to accommodate the archive, and then essentially 'unarchive' their mail by dragging it back into their Exchange account. Problem is, we aren't sure of a way to determine the size of their archive on a Mac and we are limited in storage space on the Exchange server.
I thought about just looking at their Main Identity in the Microsoft User Data folder and get the size from that, but I feel like that's probably pulling a lot more data than I need. Anyone have any suggestions to make this easier?
I've got around 400 users spread across 4 geographical offices and a tech in each one that's going to have a lot of work ahead of them. You get useless.mbox files. These are not useless, you could literally drop these onto an IMAP server for instant mailbox, or even cat mbox serverfolder. They are just plain text files of all the emails. You could do some searching for an mbox to IMAP uploader and automate putting the archived email into Exchange.
But I'll do you one better: Open up Automator and see what actions are available for Outlook. You should be able to use Automator to automate the whole process of moving archive messages up to Exchange.
As for determining how much space those archives are using, Outlook keeps it's archive in /Users/username/Application Data/Microsoft (Google the exact path, I don't recall.) Use some shell scripting, do a du -sh to get the space used by the directory, and bam. Whip out Automator again, do this all in an Automator workflow, have Automator email the result from Outlook or submit it to a web form. On the Exchange side, kick out a Mailbox size report with some PowerShell. Subtract Exchange mailbox size from archive size and you'll have the archive size with a reasonable degree of accuracy.
If it were me, I would create a JAMF Casper Suite extension attribute to get the archive size. Easy to kick out in a spreadsheet from there, copy/paste into the Exchange mailbox size report, and do an excel formula. The Automator workflow(s) I'd save out as applications, package up, and push to the end users. Slick as can be. You could also skip putting archives in Exchange and create an Automator workflow to upload the archives to GMail using IMAP after the mailboxes are migrated.
Hope that helps! I have done a few of these migrations. Plan, plan, plan. For 400 users, 90 days should be your goal. I did 550 in 90 days, 30 in 60 days, and 15 in 30 days. Your actual migration work does start until the end. Most of it is busy work and customizing and testing.

Corporate Calendar, Vacation, etc Step 9 - Import mail to within 60 Step 10 - Determine policy for mobile devices Step 11 - Convert conference rooms into google hangouts. If there is a PC, add the same webcam and speaker/mic that comes with the chromebox for business. Step 12 - Mail with in 30 and start configuring mobile devices Step 13 - Have a FAQ with Advocates Step 14 - 30 days status and link to the FAQ and training documents (there is a life after outlook PDF that google has) Step 15 - Go-Live Go-Live 1 - Import the rest of their email.
Go-Live 2 - Import Calendar and Contacts Go-Live 3 - Run PS script to send users email on exchange to their alias if needed. Unless you cut SMTP traffic to another relay server or directly to gmail. Go-Live 4 - Run FINAL mail import to catch messages delivered since last import and SMTP fix for applications Go-Live 5 - Run the Delegate script for mailbox access Go-Live 6 - Configure google groups (distribution lists) for internal or external access Go-Live 7 - Import resource calendars Go-Live 8 - Start PST import If you need a google implementer/consultant, PM me. Problem is we need a good way to get it all back onto Exchange first besides running up to each user, determining the size allotment they need, expanding their storage on their account, and re-uploading their archive back to their account. Outlook for Mac unfortunately only let's you export as.olm files, and if you attempt to drag-n-drop to the Dekstop, you get useless.mbox files. All of the.olm to.pst converters we've tried are painfully slow and/or often corrupt the archives. Could you put the onus on the users to move the items out of the archive and back into their mailbox? Like, pitch it as 'if there's anything you need to take with you to the new system, move it out of the archive'.
I guess you've still got the space problem on Exchange, but assuming that you're migrating users in batches and not in one go, that might be manageable? What does your implementation partner (migration team) have to say on the subject? Hopefully it won't be the first time they've had a challenge like this!
